What do the order statuses mean?

During the ordering process, your order goes through various statuses. This status indicates the phase your order is currently in.

Below, we explain what each status means.


Awaiting payment

Your order has been placed, but we have not yet received your payment. As soon as the payment is received, we will start processing your order.


On hold

Your order has not yet been released for production. Your files may have already been submitted, but they still need to be checked and approved. We will contact you if we need anything else from you. As long as your order has the status “Holding”, it is not yet in production. As soon as your files are approved, you will receive an email with an order confirmation.


In progress

The files have been checked and approved.
Your order is currently being produced and can no longer be changed.


Completed

Production is complete.
Your order is ready and on its way to you. As soon as the track and trace information is available, you will receive it via email. You can also find it in your account.


Cancelled

Your order has been cancelled.


Refunded

Your payment has been refunded to your account. It may take a few days for this to become visible.

Why can’t I place a reorder?

Bookadew does not store files and order data systematically. We do this to comply with the GDPR (privacy legislation) and to handle your data with care. Therefore, every order is placed based on newly provided files. This ensures that only current files approved by you are used.

What print runs are possible?

At Bookadew, you can order books in both small and large print runs, from 5 to 500 copies. If you would like a larger print run, please contact us.

Can I order a book partly in black and white and partly in color?

You can format your file partially in black and partially in color, but you cannot order it as such. An order is always either in black or in color. An interior containing part black and part color must therefore be ordered as a color-printed interior. If you order it as black, the color portion will automatically be converted to black and printed accordingly.

What do you mean by size?

In the ordering process in the price calculator, by “size” we mean the size of the interior pages, not the total finished size of the book. A hardcover is always slightly larger than the interior pages, while a softcover is the same size as the interior pages.

Can I place an order earlier?

You can place your order and submit your files later. After 30 days, the quote expires, and a different price may apply. The delivery date is only determined once the files have been submitted and is therefore postponed as long as this has not yet happened.

Our processing time is dynamic. During busier periods, it may therefore take longer to receive your books than at the time you placed the order.

Can I have a book made at Bookadew?

Anyone can have a book made with us. In our price calculator, you can see the available options and the price based on your chosen specifications.

My discount code doesn’t work. What can I do?

Some discount codes are only valid for a limited time. If you obtained this through a promotion, check whether the promotional period, as stated in the promotion, has expired. It is also possible that you have already used this code.

Can I still change my order?

As long as you have not yet placed the order, you can always go back in the ordering process to make adjustments. If you have already placed the order, you can no longer change it yourself. In that case, please contact us so we can see what is still possible.

If you have already received an approval email, chances are your book is already in production. In that case, changes are usually no longer possible without extra costs.

Can I order multiple different books at the same time?

One book can be placed per order. If you wish to order multiple books, you can create separate orders for them.

Can I order a sample?

With an order of 100 books or more, you will receive a free sample copy. For smaller print runs, a sample copy costs €50 excluding 9% VAT. The sample copy is produced based on your files. Upon approval, we will start production of the full print run.

Why are the files not being saved?

To comply with GDPR legislation regarding personal data, we retain submitted files only temporarily. After completion of the assignment, files remain available for a short time for review in case of questions. Subsequently, they are automatically deleted to limit privacy and security risks.

Can I place a reorder?

No, it is not possible to place a supplementary or reorder based on a previous order.
If you want to have books made again, you must place a new order and resubmit the file.
Files and orders are not automatically saved or linked to previous orders.
However, you can use the same specifications as for a previous order.

However, if your previous order is very recent, the files may not have been deleted yet. You can always contact us to ask if your files are still there.

I ordered black and white printing, but my PDF contains color. What happens?

If the order is for black printing and there is still color in the file, it will be automatically converted to black or gray. However, we recommend creating everything in black or grayscale yourself beforehand. That way, you can see the final result yourself and avoid unexpected results.

I selected the wrong specifications. What can I do?

Has your order already been placed? Then please contact us.

Do you still need to finalize the order? Then you can go back in the process and adjust your specifications. For example, if the entered size is incorrect, go back to the calculator and change it there. However, you will then have to go through all subsequent steps again.

Print-ready files

You can only submit print-ready files as PDF files (version 1.3).
We always need a PDF for the cover, the interior, and optionally the endpapers.

  • Cover
    1 PDF formatted as a spread (back, spine, and front together on 1 page).
    We have created working drawings for the cover. You can find these in our downloads section on this page. Our price calculator automatically calculates the spine thickness.
  • Interior:
    1 loose-leaf PDF.
    The first page of the interior is always a right-hand page.
  • Printed endpapers:
    1 PDF with 8 loose-leaf pages.
    Pages 1 and 8 are pasted against the cover and must be unprinted / blank.
    * Pages 2 and 3 are suitable for a continuous image, just like pages 6 and 7.
  • Printed endpapers:
    Add 8 extra pages to the interior.
    4 pages at the front and 4 pages at the back of the interior PDF.
    Pages 1 and 8 are pasted against the cover and must be unprinted / blank.
    * Pages 2 and 3 are suitable for a continuous image, just like pages 6 and 7.
  • Cover with foil printing:

    * For a recto/verso (double-sided) printed softcover, a 4-page PDF must be supplied. Pages 1 and 2 are for the full-colour printing, page 3 for the foil printing in 100% K, and page 4 is the sample.

Take into account signatures of 4 pages.

The number of pages for the interior must always be divisible by 4.

Ensure a 3 mm slope

Due to the trimming margin, you must submit all PDF files with an extra image border, also known as “bleed”. Ensure that the colors, images, and layout extend to the edges so that no white borders appear after trimming.

No crop marks

We only process PDF files without crop marks! Staan er toch snijtekens in het bestand en staan die te dicht op de paginarand dan bestaat er een kans dat ze na afwerking te zien zijn op de paginarand.

Safety margin of 4 mm

Ensure that items important to the layout (text/logos) are placed inwards at least 4 mm from the edges.

Use of color

You can supply photos for the book in RGB. RGB has a wider color gamut than CMYK, which often results in more color information being retained during the printing process. Books are ultimately printed in CMYK; if you want more control over the print result, supply your files in CMYK.

Please note that color reproduction on screens, even calibrated screens, never exactly matches the final print result. Color variations are therefore always possible. If you would like certainty regarding the final result beforehand, you can order a sample to assess how your book will actually be produced.

We have created special Joboptions for Adobe programs.
These are easy to install on a Mac or Windows PC. You can find the Joboptions in our downloads section on this page.

Resolution

We recommend a resolution of at least 150 DPI.
You will get the best results with footage at 300 DPI.

Lettertypes/Fonts

Ensure that fonts are converted to outlines or embedded when exporting to a PDF file.

Minimal fontsize

Use a font size of at least 6 pt. This ensures that the letters are always clearly legible.

Minimum line width

The minimum line thickness is 0.25 pt for a dark line on a light background.
The minimum line thickness is 0.50 pt for a light line on a dark background.
By adhering to the minimum line thickness, the lines are clearly visible in the final result.

Transparency/overprint

Ensure that no elements are set to ‘overprint’, unless this is intentional.
How transparency appears depends on the ink/toner, the paper, and the printing technique.

Where can I download files from previous orders?

We do not offer the option to download files from previous orders. We retain submitted files only for a limited time and only for as long as is necessary to process the order. We do retain files that we have created ourselves, for example, if you have chosen to have us design a cover.

How fast can I upload my files?

As soon as you have received the confirmation email, you can upload your files via our upload tool using the link in that email. You will usually receive this email within fifteen minutes of placing your order. Please also check your spam folder in case the email ends up there.

Are crop marks necessary?

We do not need crop marks. If you do use them, place them at least 3 mm outside the page margin. If they are closer, there is always the risk that they will be visible on the page margin. If you do not know how to set this, preferably leave them out.

Is my file being checked?

After uploading your files, the system immediately checks whether the file type (PDF), page count, and dimensions are correct, and whether the file includes bleed, if necessary.

If you have opted for extensive file checking, your file will be manually checked again. During this check, we verify, for example, whether the image quality is high enough, whether images transitioning from one page to another flow smoothly, and whether the left and right pages are in the correct positions.

We do not check for technical design matters, as these are a choice of the designer or layout artist, such as overprinting and the layout of a document.

If we find anything else, we will provide an update, and you can submit new files.

What margins should I maintain?

You can bleed images off the page, but ensure your file has a 3 mm bleed all around. If you do not wish to bleed files, we recommend a margin of at least 4 mm to the page edge. If you prefer to place them closer to the edge, that is of course allowed, but please bear in mind that paper always ‘expands and contracts’, which may result in slight variations in the distance to the edge.

Which color profiles do you use?

We use the Fogra39 profile for CMYK and sRGB for RGB. Do not use (American) SWOP profiles, as the color image can deviate significantly.

If you don’t know what profiles are, you are not required to use them.

Which file formats can I submit?

We only work with PDF files. However, in our upload tool, it is also possible to create your own cover by uploading PNG images.

Which program is best to use for the formatting?

Use the program you work best with, as long as it can generate a good PDF.
Professionals usually use Adobe InDesign for layout. A free alternative is Affinity (https://www.affinity.studio/) by Canva.
Furthermore, Canva also offers an accessible free online layout tool (https://www.canva.com/nl_nl/).
We also regularly receive files created in software such as Pages (by Apple), Microsoft Word, Illustrator, Scribus, etc. If we receive a correct PDF, we can produce it.

What is advanced file checking?

With an extensive file check, your file is manually inspected once again. During this process, we check, for example, whether the image quality is high enough, whether images flowing from one page to another follow correctly, and whether the left and right pages are in the correct positions. We also check for other discrepancies, such as elements exceeding the margins.

If we find anything, we will provide feedback and you can submit new files.

We do not check for design, overprinting, color usage, or other design-related choices, as these are decisions made by the designer.

What is the minimum line thickness?

The minimum line thickness is 0.25 pt (0.088 mm) for a dark line on a light background.
The minimum line thickness is 0.50 pt (0.176 mm) for a light line on a dark background.
By adhering to this minimum line thickness, the lines remain clearly visible in the final result.

What is the recommended font size?

Use a font size of at least 6 pt (point). This ensures the text remains easily readable. The larger the text, the better the readability. 12 pt is usually used as the standard.

What is bleed?

Bleed is an extra border that you add to a design beyond the final size. Your image extends into this border. This border is printed along with the image and then trimmed. This is necessary because cutting is never 100 percent exact. Thanks to bleed, you prevent white edges from appearing along the borders of the printed material after cutting.

We apply a 3-millimeter bleed on each side. Designs with a color or image extending to the edge must therefore always continue into the bleed.

Should I submit files as loose-leaf or as a spread?

We need the files in loose-leaf format. We cannot process a spread (two pages side by side).

My file is too large to upload. What can I do?

Although our upload tool is preferred, it may be necessary to submit files in a different way. In that case, please use a file-sharing service. We currently recommend SwissTransfer (https://www.swisstransfer.com/), a privacy-friendly service based in Switzerland where you can upload files up to 50 GB, or Smash (https://fromsmash.com/), a French service where you can upload files up to 2 GB.

Are rounded backs possible?

No, rounded spines are not possible at Bookadew.

Bookadew produces books with a straight spine. Other spine shapes, such as rounded spines, are not offered.

What are endpapers?

Endpapers are the pages at the very front and back of a hardcover book. They form the connection between the interior (the printed pages) and the hard cover.

The endpapers are made of slightly thicker paper than the interior. They provide extra sturdiness, protect the book, and give the whole a neat, professional finish.

We offer a choice of:

  • Blank, unprinted white endpapers
  • Colored paper (available in eight colors, see our order page)
  • Full-colour printed endpapers. These are printed with your own design on 140 g/m² wood-free offset paper.
  • Full-colour printed endpapers. These are printed with a custom design and produced on the same paper type as the interior pages.

What are bookmarks?

Ribbon bookmarks are narrow ribbons attached to the top of the spine of a hardcover book that serve as built-in bookmarks.

They make it easy to find a page without loose bookmarks and also give a book a luxurious and polished look. Ribbon bookmarks are available from us in eight colors.

What is spot UV varnish?

Spot UV lacquer (also known as spot varnish or spot lacquer) is a glossy lacquer coating that is applied locally to a printed product.

What does it do?

  • Spot-UV lacquer provides a high gloss finish on specific areas.
  • Creates contrast with a matte background.
  • Make elements stand out, such as a logo, title, image, or pattern.

What is laminate?

Laminate is a thin layer of plastic that is applied over the paper after printing. It protects the book and determines the appearance, such as gloss, matte, or linen.

What is the difference between single-sided and double-sided printed softcover covers?

With a softcover, you have the option to have both the outside (the side you see when the book is closed) and the inside (the side you see when the book is open) of the cover printed.

With single-sided printing, only the outside is printed and the inside remains white. With double-sided printing, both the outside and the inside of the cover are printed.

This is separate from the exterior front and back of the book. These always form part of the cover and are printed as standard, if desired.

What is foil printing?

Foil printing is a technique in which a thin foil is applied to printed matter. This creates glossy accents, for example for titles, logos, or decorative elements.

Can I order any book format I want?

Our price calculator only accepts orders within the sizes we can process. Enter the desired size of the interior there, and you will immediately see if this is possible.

The format also depends on the proportions of your book. For example, you can order a portrait or landscape A4 book (210 × 297 mm or 297 × 210 mm), but a square book of 297 × 297 mm is not possible within our current machinery.

As a general rule, a hardcover interior can have a minimum width of 105 mm and a maximum width of 297 mm, with a minimum height of 148 mm and a maximum height of 290 mm. A standard A4 interior is therefore possible.

Is spot UV varnish possible?

Yes, one-sided spot UV varnish is possible on your cover.

Is laminate possible?

Yes, we laminate all book covers. We offer the following laminates:
Gloss laminate
Scratch-resistant matte laminate
Linen laminate

Please note: linen laminate is different from a linen cover. A linen cover is made of linen, which we do not offer. Linen laminate simulates the texture of linen.

If you do not want laminate, please contact us. However, we advise against this, as covers without laminate are very fragile and damage easily.

Is foil printing possible?

Yes, various types of foil are possible on the cover. We offer a choice of:
Gold
Silver
Copper
Rose gold

How do I add spot UV varnish to my file?

Add an extra layer to your document set to overprint with the spot color ‘Scodix Spot’. This layer must be on the same page as the layout.

If this does not work, create an extra page containing the spot UV parts in 100% black, in exactly the same position and size as the elements in the layout over which the spot UV should be applied.

How do I add foil printing to my file?

Add an extra layer to your document set to overprint, with the correct spot color for the selected film. This layer must be on the same page and in exactly the right position as the underlying layout.

The four foil colors we offer are:
Gold (support color: Scodix Foil Gold)
Silver (support color: Scodix Foil Silver)
Copper (support color: Scodix Foil Copper)
Rose gold (support color: Scodix Foil Rose)

If this does not work, create an extra page containing only the foil parts in 100% black, in exactly the same position and size as the parts in the layout over which the foil should be applied.

Which type of paper is best suited for my printed materials?

Matte MC (coated paper)
A matte coated paper with a pleasant feel and low reflection. The matte coating ensures minimal shine, improves readability, and makes colors appear bright and vibrant.
Applications: children’s books, picture books, family books, history books, art books, etc.

Silk MC (coated paper)
A white, coated paper type with a silky sheen.
Application: books in which photos play the leading role, such as photo books, anniversary books, cookbooks, and school yearbooks.

Silk mc True White (coated paper)
A coated paper with a bright white tint, ideal for strong color contrast. The ‘soft matt’ surface provides a luxurious feel and ensures excellent image reproduction.
Perfect for photo books and special editions.

Wood-free offset (uncoated paper)
A wood-free white, uncoated paper. It is easy to write on and produces a soft, natural print.
Applications: theses, children’s books, schoolbooks, diaries, notebooks, etc.

Romandruk (cream-colored paper)
A pure wood-free, uncoated paper with a thickness of 2.0. The off-white tint ensures optimal readability, a calm appearance, and an authentic paper feel.
Romandruk is an excellent choice for novels and paperbacks.

Biotop (cream-colored paper)
An uncoated, matte paper type that is particularly suitable for understated designs. This paper has the same look as offset paper, but due to the light cream color, it appears slightly warmer and more natural.
Application: reading books with a classic look.

What is the difference between the types of paper?

Coated paper is paper with a coating for a smooth surface and high print quality. Matte coated paper, as the name suggests, has a matte appearance with hardly any reflection. Silk coated paper is slightly glossy.

Uncoated paper is paper without a coating, with a natural, matte appearance where the ink soaks into the paper and colors appear less vibrant but calmer.

Cream-colored paper is uncoated paper with a warm, light yellow tint. It is pleasant to the eyes, especially when reading longer texts. The color creates a calm, classic look and reduces the harshness of bright white paper.

What is the production time?

Our production time is dynamic and depends on how full our schedule is at that moment. Therefore, always check our website for the current number of working days applicable to your order. As soon as you place your order and proceed to checkout, you will see the expected delivery date, provided you submit your files on time. If you submit your files later, the delivery date will shift accordingly. The tipping point for this is at 12:00 PM every working day.

During busy periods, such as around Mother’s Day and Father’s Day and in the last months of the year, production time can increase.

When are the busiest periods?

The busier periods are normally November and December, with possible throughput into January and the time around Mother’s and Father’s Day. Our processing time can increase significantly during these times.

Can you deliver earlier than indicated?

There is always a chance that we can deliver earlier than indicated on the site, for example if another order is delayed and space becomes available in the schedule. However, we cannot guarantee this. In most cases, the processing time as indicated on the order date applies.

Can I change the shipping date?

Do you offer express delivery?

No, but you can always contact us to see if we can find a gap in the schedule to move production forward.

Can I have my order shipped later?

If you would like your order shipped at a later time, please indicate this in the order notes field. You will see this field in the final step before payment. You can also contact us about this via our contact page.

Is delivery on the specified date guaranteed?

We will ship the order on the date stated in the approval email. If you submit the files later than the time you indicated when ordering, or if your file is rejected, the delivery time may shift. This depends on when the correct files are submitted.

Should circumstances prevent us from shipping the order on time, we will always contact you. In the event of unforeseen circumstances on the part of the delivery service, the indicated delivery time may also change.

Where can I file a complaint?

Something can go wrong with us or the carrier as well. If you have a complaint, please contact us. Preferably by email and, if possible, with photos of the problem. We will then try to resolve this with you as quickly and effectively as possible in consultation.

Where can I track the status of my complaint?

We do not have a separate tool to track the progress of a complaint. As soon as we receive a complaint, you can expect a response within one business day. Depending on the nature of the complaint, the investigation and providing a solution may take more or less time, but we always do our best to resolve this as quickly as possible.

Can I return my order?

At Bookadew, we place great value on our customer satisfaction. We print every book entirely to order, based on the files you provide. This results in a unique, personalized product produced especially for you.

Custom-made products
Because our books are fully personalized and produced especially for you, we unfortunately cannot accept returns or exchanges. This falls under the exception to the right of withdrawal as provided for in European Directive 2011/83/EU, Article 16(c). This states that custom-made products are excluded from the standard right of return.

The colors differ from my expectations. How is that possible?

This is usually the result of working with an uncalibrated monitor. Your colors will then quickly look very different than in print, especially if settings such as brightness, contrast, and color settings have been changed. Furthermore, a monitor has an RGB color gamut (additive light colors) while print has a CMYK color gamut (subtractive reflective colors), the range of which is much smaller than that of the RGB color gamut. The printing technique and paper type also play a role.

If you want to know exactly how the print run will turn out, order a sample copy of your book. You can select this option when placing your order, and a sample copy is free for print runs of 100 or more.
